Privacy Policy

MeterMate (by MeterMark) provides software that utilities and water operators ("customers") use to manage meter reading and water testing. Customers control the operational data they put into MeterMate; we process it on their behalf.

Information we collect

  • Account details: name, email address, optional phone number, organization and role.
  • Operational records entered by your team: meters, routes, readings, notes, photos, water test results and exceptions.
  • Device and usage data: app version, device type, sync status and error logs used to keep the service reliable.
  • Billing details are handled by our payment processor (Stripe); we do not store full card numbers.

Location data

What is collected

Latitude, longitude, location accuracy (in meters), the time the location was captured on the device, and the time it reached our servers.

Why it is collected

To verify that each meter reading was taken at the meter, to help supervisors coordinate active routes on the live map, and to support disputes about reads.

When it is collected

  • Only after a reader explicitly starts an assigned route or work session, and only until the session ends.
  • With every saved reading or reported meter issue during that session.
  • The app shows a visible indicator whenever location collection is active. MeterMate does not track readers outside an active work session, and does not request background location unless the platform requires it for an active session.
  • If location permission is denied, readings can still be saved; they are marked as missing location for review.

Who can see it

Owners and administrators of the reader's organization (and roles they grant live-map or audit access). Other organizations never see your data. MeterMark support staff access it only to provide support you request, and such access is logged.

How long it is kept

Location attached to a reading is kept for as long as the reading is retained by the customer (it is part of the reading's audit record). Live-map position trails from active sessions are kept for a shorter operational period configured by the customer [retention period to be confirmed — default proposal: 90 days], then deleted.

Microphone, camera and notifications

Microphone access is used only while you hold the voice-entry button to dictate a reading. Camera/photo access is used only when you attach a photo. Notifications are used for route, test and exception alerts and can be turned off in settings.

How we use information

  • To provide, secure and support the service.
  • To send transactional messages such as invitations, assignments and alerts.
  • To produce aggregate, de-identified product analytics. We do not sell personal information.

Retention, export and deletion

Customers can export their data as CSV at any time. On account closure, customer data is deleted after a grace period [to be confirmed], except where retention is required by law.

Security

Data is encrypted in transit and at rest, isolated per organization, and access is role-based and audited.
